Sponsorship Policies & Information

PAYMENT OF DEBTS POLICY:

All sponsors will be invoiced for their package fees initially. Full payments are due within 45 days of invoice receipt and no later than August 1, 2026. All participants are further responsible for ensuring that there are no outstanding amounts owed by them to ASAE. Sponsor Participants' company listings may not appear online until payment in full is received. Day of event payments are not accepted.

Cancellation/Refund Policy: All requests for cancellation of sponsorship packages must be made in writing to jbacon@asaecenter.org and shall become effective upon receipt by ASAE.

Due to the difficulty of determining and detailing the losses which would result from cancellation of sponsorship packages, the Sponsor agrees to pay the following as liquidated damages (and not as a penalty) if the Sponsor cancels its package:

  • If a company cancels their participation in the ASAE CEO Conclave within three (3) months of the event date, they will be eligible for a refund of 50% of the fees paid. If the cancellation occurs more than three (3) months prior to the event, a full refund will be issued. 
  • For Alliance Partner companies that cancel within three (3) months of the event, 50% of the total credits allocated for the event will be applied to future ASAE events or services. Cancellations made more than three (3) months prior to the event will result in a full reallocation of credits to future ASAE opportunities. 
  • No refunds or credits will be issued for cancellations made within two (2) months of the event. 
  • For any cancellation, a fee of $150 will apply. 

The above cancellation fee terms shall apply regardless of the execution date of this Agreement and regardless of any re-sale of sponsorship package cancelled by Sponsor.

The current year's sponsors have first right of refusal for the next year's event.
CEO Conclave 2027 will take place September 7–12, 2027 at the Laguna Cliffs Marriott Resort & Spa.

  • Hotel for the evenings of Thursday—Saturday. Optional: If you wish to come early or stay late, additional fees will apply
  • Hotel and ground transportation to and from the airport for your three invited and pre-approved association CEOs & one guest each
  • One sponsor spouse/guest registration (cannot be someone in the industry)
  • Attending sponsor must be VP level and above and at least 21 years of age.
  • Spouse/guest must be at least 21 years of age.
  • Ground transportation for sponsors and their spouse/guest to and from the airport.
  • One spa appointment per person (sponsor, CEO & guests)
  • On & off-site excursions Friday & Saturday
  • High level educational programming on Friday & Saturday mornings
  • Thursday & Saturday night reception and dinner
  • Thursday night sponsor meet-up (Friday dinner hosted by sponsor)
  • Friday–Sunday breakfast
  • Friday–Saturday lunch

To streamline the arrangements and ensure flexibility, CEOs and their guests will be required to make travel arrangements using ASAE's official event travel partner, ATC. ASAE is waiving airline charges for CEOs and their guests of up to $500 per person. Any additional charges beyond the $500 per person are at the expense of the CEO and/or guest. Airfare credit is only applicable when reservations are made through ATC.

  • Sponsors are responsible for picking up all charges for the Sponsor Dine Around for their invited CEOs and guests.
  • Each sponsor may bring a personal spouse/guest, and three CEO clients and their guests - parties of eight (8).
  • The CEO guests must be actively working at an association or an AMC that are full-service association management companies.
    • Third-Party meeting planning companies are not permitted.
    • Exceptions may be made for #2s that are recognized as the "leader" of the association because their CEO is more externally focused.
    • Executive Directors are permitted.
  • All CEOs must be pre-approved by the ASAE CEO Conclave Experience Team, before the sponsor can extend an invitation.
  • Only one (1) representative from each sponsoring company can attend, even if they do not bring a guest.
  • Sponsors must agree that all guest charges that are above those outlined above will be the responsibility of the guest.
    • Sponsor companies may not pick up those additional charges and are not permitted to give their invited guests additional gifts.
    • This ensures an equal experience for all CEOs and their guests.
  • All invited guests are expected to fully participate in the scheduled events outlined within the Schedule.
